Grievance & Conflict Resolution Procedure
At JIBITI, we strive to maintain a culture of kindness and respect. However, we recognize that in any community, conflicts or concerns may arise. We have established a clear, confidential pathway for members to raise grievances without fear of retaliation.
If you experience a violation of the Code of Conduct, a safeguarding concern, or a personal conflict with another member, you have three ways to report it:
- The Informal Path: Reach out to your Community Representative, Working Group Coordinator, or Community Coordinator for initial guidance or mediated dialogue.
- The Formal Path: Send a confidential email to safeguarding@jibiti.youthinitiativef.org.
- The Leadership Path: If the grievance involves a member of the coordination team, reports should be sent directly to the Programs Officer or the Executive Leadership.
Once a report is received, we follow a structured four-stage process:
- Safety Assessment: We immediately assess if there is an ongoing risk to any member’s physical or digital safety. If a breach of confidentiality is involved, temporary suspension may occur to protect the community while we investigate.
- Fact-Finding: The Community Coordinator (or a designated neutral party) will gather information from all involved sides. All discussions remain strictly confidential.
- Restorative Dialogue: Where appropriate, we facilitate a conversation between parties to reach an understanding, offer apologies, and set boundaries for future engagement.
- Final Determination: If the grievance involves a policy violation that cannot be resolved through dialogue, the Executive Leadership will make a final decision regarding membership status (Warning, Suspension, or Termination).
- Confidentiality: The details of a grievance are only shared with those absolutely necessary to reach a resolution.
- Dignity & Respect: Every party involved is treated with respect, regardless of the nature of the complaint.
- Non-Retaliation: Reporting a concern in good faith will never affect your "Member in Good Standing" status.
- Proportionate Response: We aim for solutions that help the community grow. Permanent termination is only used as a last resort for severe safety or ethical breaches.
We understand that sometimes members may feel safer reporting anonymously. While we encourage identified reporting to allow for thorough investigation, you may submit anonymous feedback via the Secure Feedback Link found in the footer of the JIBITI Community Platforms.
